Opening – School Board Prayer

 

Approval of minutes from previous meeting. 

 

Committee Reports: 

    1    Finance and Development – Jill / Brian 

    2    Enrollment & Marketing – Annette 

    •    Catholic School’s Week Breakfast went well. 

    •    Mission Party went well – raised approximately $2008.00 

    •    Committee Meeting after this meeting tonight. 

    3     Catholic Identity / Policy & Procedure - Angie 

    •    Still working on policy for giving families money. 

    •    Need representatives for four members of sending parishes. 

    4     Principal Evaluation – Jill (in Spring). 

    5    Strategic Planning – Brian 

    •    CMS Roofing was contacted – two areas of the roof are still under warranty and will be repaired at no charge.  Presently there is around $1000.00 in repairs needed (not under warranty). 

 

Old / Ongoing Business: 

    •    Special Guest:  Mrs. Laurie – School Lunches 

    ◦    St. Mary’s needs an “Unpaid Lunch Policy.”  It is recommended that the Policy and Procedure Committee come up with a policy and have the Finance Council look at it. 

    ◦    We are not where we should be pricewise, on school lunches.  We are running in deficit each month for school lunches. 

    ◦    New price for school lunches need to be determined by the end of the school year.  (April meeting). 

    ◦    We would like Mrs. Laurie to come back to the April Meeting (held on March 27, 2017). 

    •    Progress on goals to erase deficit: 

    ◦    Increase enrollments 

    ◦    Fundraising – Mike Hernandezpeterson – to come to April Meeting for tips on fundraising. 

New Business: 

    •    HASA – Kim  

    ◦    No report – will have report at next meeting. 

    •    Pastor’s Report – Father Daniel 

    ◦    Next month is the Parish Mission – it will run from the first Sunday in March thru March 7, 2017 

    ◦    To prepare for Lent and Easter – first reconciliation for the children will be Thursday. 

    ◦    In December, Father received some money and applied it to the debt.  Finance Committee will get it. 

    •    Principal’s Report – Mrs. Sandor 

    ◦    Tuition payments are current 

    ◦    March 27, 2017 is needed for make up snow day.  School is in session Easter Monday, April 17, 2017.  This follows ENS calendar. 

    ◦    Catholic School’s Week was a phenomenal success.  Focus on LOVE. 

    ◦    Working on a successful grant request with Joe Pounds from Dekko for the fence / walking path. 

    ◦    Prayers needed for Sister Teresa – she is having surgery 02-08-17.  Students will pray every hour for her at school on that day, 

    ◦    One St. Mary and one St. Joseph parent has shown interest in being the Athletic Director for St. Mary School. 

    ◦    Outstanding Matters to be addressed by School Board: 

    •    Tuition Assistance Protocol 

    •    Athletic Eligibility Policy – clarification needed on practice and no play / no play and no practice for two weeks.  And, tournament time – is the policy still in effect? 

    ◦    Successes 

    •    Isaac Warner, 5th grader will represent Noble Co at the Regional Spelling Bee March 11th. 

    •    Maggie Warner, 7th grader, had the winning design for You Can Lend A Hand Contest. 

    •    Parish Council 

    ◦    Next meeting is Feb 21,2017 at 7 pm and Kim will attend. 

Next meeting will be Wednesday, March 8, 2017 – School calendar will be determined. 

April Meeting will be March 27, 2017 – Mike Hernandezpeterson and Mrs. Laurie will be our guests.

Opening - School Board Prayer

Present:  Mrs. Sandor, Jill Dunkel, Angie Jansen, Tina Gienger, Brian Myers, Carrie Rupley, Laura Fortman, Tracy Strater, Sara Lake, Father Daniel.

Committee Reports: 

  1. Finance & Development- Brian Myers/Jill Dunkel (Chairman) – Written report given.  Highlights include:
  • Accrued Diocesan debt (Jul – Oct 2015 unpaid expenses) stands at $116K (down from $136K previously)
  • Subcommittee formed to lay plans for long-term parish deficit reduction
  • Finance Council encouraged by direction School Board is taking with new deficit-minded tuition setting method

    2. Catholic Identity- Angie Jansen (Chairman) -  The committee will meet after tonight’s meeting.

    3. Enrollment & Marketing- (Annette Roesener (Chairman)  

  • We are hoping to do another “Mass Mob” possibly at St. John Bosco in Churubusco and Blessed Sacrament in Albion. Dates and times to come.
  • Planning is going on for Catholic School’s Week.  We will have students speak at the sending parishes.
  • Committee Meeting will be held after the February School Board Meeting.

    4. Principal Evaluation – Jill Dunkel (Chairman) No update.  

  • The evaluation happens in the Spring.

    5. Strategic Planning- Brian Myers (Chairman) – Hand out was given.

  • Goal is to refresh and/or bolster these areas of the existing plan prior to the end of the 2016-2017 school year
  • Next Committee meeting tentatively scheduled to be held after the February School Board
  • May need to reconsider due to attendance conflicts

Old / Ongoing Business

  1. Tuition Recommendation for 2017-2018 - Brian Myers had a presentation and handouts were submitted.  After much discussion and going over several scenarios, the recommendations are as follows: 
  • Angie Jansen motioned to keep the preschool rates the same; 2nd by Tracy Strater.  Motion passed.
  • Angie Jansen motioned to raise the registration fee from $50.00 to 75.00; 2nd by Carrie Rupley.  Motion passed.
  • Angie Jansen motioned to raise the Book and Technology Fee to $375.00; 2nd by Laura Fortman.  Motion passed.
  • Angie motioned to raise the Tuition Fee 8%; 2nd by Carrie Rupley.  Motion passed.
  • Enrollment is the key factor to impact the fees the most.  We need to increase enrollment.
  1. February School Board Meeting – we will have Mrs. Laurie here to discuss the “Unpaid Lunch Policy.”
  2. April School Board Meeting – we will ask Mike Hernandezpeterson to attend and discuss ways for us to make money for the school.

  • The Kendallville Christmas Parade was on 12/03/16.  We had between 40-45 people participate.  It was a good time had by all!!

  • The evaluation happens in the Spring.

  • First committee meeting held after November SB meeting, all members present

§  Chicken Dinner at Immaculate Conception in Ege.

§  Chili Dinner at St Gasper’s in Rome City. The priests from those parishes were very happy to meet us and especially our principal, Mrs. Sandor. 

§  The Committee will be meeting to make a plan for the Kendallville Christmas Parade 12/03/16.

2.     Maintanance issues that have been addressed recently:

·       Lights and ballast throughout building repaired

·       AED installed

·       Bushes were ripped out and landscape trimmed

·       Filters in water fountain were fixed

                  a. The Marketing Committee would like to attend the Immaculate Conception Church             Dinner in Ege on Sept. 11 at 2pm to show support to our fellow parish. Sara Lake will email an invite to school families to participate.

                   b. St. Gasper's is planning a Church Chili dinner and Sara Lake will inquiry about if this would be open to the public.

                   c. Tina Gienger relayed on that all of the Spanish St. Mary's brochures at Immaculate Conception are taken and need replenished.

                   d. Dec. 3rd will be the Christmas Parade in Kendallville. We would like to find a low trailer to ride on as the Nativity Scene. Need to ask Mrs. Couture if we can borrow her 3rd grade costumes

                  e. Would like to “Mob” a different parish every month.

1. Garrett Carpool

a. No one has heard an update on this.

2. Labor Day Basket Raffle was successful. Thank you to all for your donations and help and for the teachers for organizing.

 3. School Board Goals:

                      a. Continue to update the Stategic Plan

                      b. Continue to expand Enrollment & Marketing

                      c. Review and improve the School Board election plan

                                 (Angie Jansen will be looking into diocesan policy for this procedure)

    4. Sara Lake & Andrea Winkle are working on writing a grant to install a paved walking path and fence in the back area.

    5. The leaks on the roof above the 3rd grade class are being looked into. Also checking on gaps in masonry in primary hallway.

New Business:

1. Diocesan School Board In-Service – Monday, October 17th from 6-9pm at Bishop Dwenger

                    a. RSVP by October 7th.

        b. Angie Jansen will be attending the Diocesan School board meeting this week and will find out what topics the in-service will cover.

       A session on the SGO program and possibly other tuition assistance program are area's of interest for our board.

HASA Report – (Angie Jansen)

1. Cookie Dough sales were down. Talking about possibly doing this fundraiser later in the year next year.

2. Trunk or Treat is being planned. No date set yet.

3. Trivia Night is tentatively set for Nov. 5th.

4. Sept 14th at noon will be the delivery date for cookie dough.

5. A vice president will be elected at the next meeting.

6. Next HASA meeting is scheduled for Sept. 21st at 6:30.

§  The Freedom Festival parade in Avilla ( and won third place!!!)

§  St Mary School fliers were distributed at The Town Hall in Avilla, and at the library in Avilla, and at Cranberry Acres in Avilla.

§  St Mary (faculty, board members, students) had their first "Church Mob" at the Immaculate Conception Church in Kendallville – it was very well received and supported.  The goal is to attend all sending parishes to promote St. Mary School.

§  From the May 10, 2016 Minutes – Brian is still working on the template – the hope was to have it at the beginning of the school year.  He has made some headway with people, but has nothing on paper yet.

Opening - School Board Prayer

 

Special Guest: Jack Jansen

·       Jack is currently working towards his Eagle Scout status and has chosen to redo the rock garden at the entrance of the school for his Eagle Scout project. The estimated cost will be $3000. He and his crew of family members and fellow scouts will be removing the current bushes and planting bulbs and other plants that will be low maintenance. Waring’s and Hesher’s have a bobcat to help with the removal of the bushes. Brian Myers will inform the groundskeepers, Mr. Sherwood and Mr. Bush on this project. Also, father would like to involve the Knights of Columbus in this project. Tentative plans to begin July 2016.

Old Business:

1.     The Sending Parish Tuition Subsidy determination clarification letter was submitted to the Diocese and they newly advise that we are NOT in compliance with the diocesan policy P5130. Mrs. Sandor passed out a copy of the form that will go to the sending parishes (with the rates) that align to this new interpretation of the policy.

 

2.     Sports policy: It is the recommendation of the school board that there shall be no D’s or F on the students midterm or report card in order to be eligible for athletic teams as follows; They will not be able to practice or play in a game for two weeks. The teacher will read evaluate after the two-week period.

 

New Business:

1.     Changes implemented by School Administration in a tentative version of the 2016-2017 St. Mary School Calendar were addressed as a result of concerns raised by several parents as well as members of the board.  The impetus behind the changes as well as perceived impacts to families were discussed.  Current school board policy does not dictate approval of the calendar by the School Board; however, one charter of a diverse School Board is to advise the Pastor and School Administration on topics that are, or may be, of concern to the school community.

 

2.     We should add “recruiting future board members” to the responsibilities of the Catholic Identity committee.

 

3.     School Board Elections for 2016 to 2017:

HASA Report

·       Next year’s HASA dues will be $50-to be paid directly to HASA.

·       Fundraisers: at the Johnny Appleseed festival we will be selling IBC root beer and water. We will need a $300,000 Insurance policy for this-HASA is checking on who covers this policy. Cookie down Will be a fundraiser at the beginning of next school year.

  • The letters on the sign out front will not stay up. We have our name in for the sign at the Albion             Library. 
  • We are planning an Open House for the parents and students of St. Joseph's in Garrett to             come to St. Mary's and visit during school hours. This will be for 8 or 9 students.

Principal Evaluation-AJ/ Meet after March Board Meeting.

Strategic Planning-BM/

  • Working on Facilities and Capital Improvement Meeting in March.
  • Continue to compile information on the demographics etc. of the area, school etc.

 

Old Business:

1 . Sara and Mrs. Sandor attended the Catholic School Fair in Angola at St. Anthony of Padua on January 24.

2. Feb. 1 was the Light of Learning Luncheon at 1 pm.

3. St. Mary School was awarded $2000.00 from the Noble REMC Round Up Grant to help purchase a defibrillator, and Knox Box and Walkie Talkies for the school.

4. If anyone knows of any other grants available, please let the school know. Mrs. Winkle is excited about writing the grants.

 

New Business: 

  1. The Sending Parishes need more information on how the Council determines the tuition rates. Brian Myers and Jon Ormiston will get a letter of explanation to them by Mid- March.

 

 

HASA Report

  • HASA is working on getting a booth at the Johnny Appleseed Festival —to sell Root Beer.
  • Also thinking about trying a Trunk or Treat Event for Halloween — maybe have hot dogs and cocoa.
  • No February Meeting
  • no more fundraisers for 2015-16 school year

School Administrators Report

  • St. Mary's was not chosen for a visit from the Advanced Ed Accreditation.
  • Reminder: Don't stress the kids out about I-Step. There were major technical issues with the test this year. .. the server going out and switches not working.  
  • The Open House / Registration went well 
  • The staff and Mrs. Sandor are working on the School Improvement Plan.

1.      Finance and Development – Fromthe Council Meeting 09/17/15, the debt is paid in full.  Major concern is that we need to meet “Operating Expenses.”  Some of the Operating expenses are paid thru January 2015 (some of the Diocsean bills are not.)

3.     Enrollment and Marketing - St Mary’s is committed to the Christmas Boards at Bixler Lake.  We do have a banner and students can walk in the Christmas Parade; a float is not necessary.  St. Mary Student Council will discuss/decide this at their meeting.

May 5, 2015

Present: Mr. Kieffer, Angie Jansen, Sara Lake, Michelle Myers, Annette Roesener, Kristin Hauck, Jill Dunkel, Melissa Cass, Kim Hesher, Scott Gunkel, Mrs. McNutt, Tina Gienger, Mike Baker, Jerry Schmidt, Brian Myers and Tracy Strater

Review of minutes from last meeting : minutes were approved
 

Welcome New Members – Jerry Schmidt ( replaced by Carrie Rupley), Tracy Strater and Brian Myers

Committee reports:

1. Finance and Development – nothing new
2. Catholic Identity Policy and Procedure – changes to constitution approved

3. Enrollment and Marketing

a. Used a donation to have St. Mary's pencils made
b. Sara Lake put an ad in the News Sun to congratulate the seniors c. Put up a St. Mary's sign at ball diamond in Kendallville

4. Principal Evaluation committee – nothing new

Parish Council Report:

  1. Bishop is coming August 9th to mass at 10:00 here at St. Mary's to recognize us for paying off debt.

  2. Next meeting is May 19, 2015

Old Business:

  1. HASA – $9540.00 is what HASA needs per year to pay bills - $20.00 a family in dues is not enough, Enter it into FACTS option? No cookie dough this fall, Try selling trash bags and do a bingo day as possible new fundraisers

  2. Motion passed to raise dues to $100.00 per family

New Business:

1.Strategic Planning – Enrollment and Marketing
goal 1 – website updated, pencils, window stickers
goal 2 – yard sign, window stickers, Bixler Lake Christmas sign

2.Elections – President – Angie Jansen, V.P. - Jill Dunkel , Secretary – Tina Gienger

HASA report:

1.Covered in New Business
2. next meeting on May 11
th at 6:30pm

School Administrators Report:

1. Spring Musical was optional this year, 25 kids participated
2. Art grant ends this year, need new grant for next year
3. Diocese had training for Theology of the Body for teens for second semester 7
th graders, will start next school year
4. Alive in Christ – new religion books for this fall ( created by Our Sunday Visitor)
5. Mr. Kieffer took a new job so a principle search committee will be formed this summer

Pastor Report:

1. Thanked Mr. Kieffer and outgoing and incoming board Members

2. Plumbing going on in the rectory
3. Met with Bishop who is grateful we payed off debt

Present: Mr. Kieffer, Angie Jansen, Sara Lake, Annette Roesener, Kristin Hauck, Jill Dunkel, Melissa Cass, Kim Hesher, Scott Gunkel, Mrs. McNutt, Tina Geinger, Mike Baker

Committee reports:

1. Finance and Development – nothing new
2. Catholic Identity Policy and Procedure – will make changes to the handbook and vote to

approve them at the next meeting 3. Enrollment and Marketing

a. Will put something new on the school road sign to congratulate the confirmation and first communion students

b. Sara Lake will contact the News Sun about putting in an ad to congratulate the seniors 4. Principal Evaluation committee – nothing new

Parish Council Report: none
1. Next meeting is April 21 @ 7:00, Kim Hesher to go

Old Business:

1. CYO will not let Oak Farm join St. Mary sports teams to play in CYO games, maybe possible for St. Mary students to play in both leagues

New Business:

1.What is the process of finding out why a family may leave St. Mary School?
a. Principle simply reaches out to the family and asks why but beyond that it is personal

issue some may not wish to share. 2. Science fair too hard? 5th grade too hard?

a. There will be some changes made to the 5th grade schedule next year to ease the transition to middle school

3. Should we bill FACTS for the Burger King booklets until people sell them to guarantee all are either paid for or brought back?

4.Three Board members terms are over.
a. Scott will be replaced by Tracy Strater.
b. Kristen will be replaced by Jerry Schmidt.
c. There are three people running for Michelle Myers position. Tina Ball, Carrie Rupley

and Brian Myers are running. Elections will be held at St. Mary parish on the last

weekend in April.
5. Dekko issued a grant “If you didn't have to pay for this ??? you could do this for your kids?

HASA report:

1. Trivia Night April 11th
2. Should HASA fees increase instead of doing fundraisers? 3.HASA will submit there bylaws to school board for approval 4.April 11th @ 6:00pm is the next meeting

School Administrators Report:

1. Parent volunteers still needed for sending parish projects
2. Toured East Noble to get an idea of e-learning and technology needs for students ( Canvas

program $5.00 a student) Pastor Report: None
