Committee Reports: 

    1. Finance & Development- Brian

    •     Parish Finance Council met 8/17/17
      • Parish is continuing to get by on a month to month basis, however several factors indicate that the school will not be able to achieve the financial goal set by the SB in January 
      • Diocesan debt is at $122,000
      • Principal Adams submitted a list of school maintenance issues that need to be addressed 
      • Next meeting: 10/19/17

    2. Catholic Identity/Policy and Procedure-Andrea 

    •     Nothing to report-committee meeting after October meeting  

    3. Enrollment & Marketing-Joni

    • possible fundraiser ideas:
      • “Gala” night, auction, food & drink, kid made items for purchase
      • Inquire as to using the Knights popcorn supplies at an event-possibly at trunk or treat night in October? Need to communicate idea to HASA

  1.   Labor Day Festival Basket Raffle
    • Well attended by the community, but no report yet on financials

2.   Alumni Tent @ Labor Day Festival

    • 93 entries into drawing
    • 51 new alumni filled out contact info sheet
    • Yearbooks and sign in banner were well received by alumni
    • Next year possible pics of older decades?

3.    School Board Goals

    • Continue to address Parish debt, possible fundraiser in the spring?
    • All board members to email Laura with more ideas for goals    

New Business:

1.     Grant Committee- Andrea Winkle

    • Currently looking for a central location to look at past grants and discuss upcoming grants
    • Committee members: Andrea Winkle, Laura Fortman, Mr. Adams, Kristin Hauck
    • Working on a master list of items to work towards (new appliances, school supplies, etc.)
    • Input from Brian: EACH grade can submit an application yearly for REMC grants

2.     Sign up for Diocese Conference-Bishop Luers Monday Oct. 16th 6-9 p.m.

    • Laura will be attending, board members to email Laura if they wish to attend 
    • Angie to send out email to entire board as to which topics will be offered after the Diocesan school board meeting later this month 

School Administrators Report- Mr. Adams

    • NWEA Sept 12, 13, 14th Assessment, 
    • Current Enrollment is 121 students in K-8, Preschool has 39 students
    • 65 students are currently taking advantage of choice scholarships, this program is an important part of our enrollment financially, yet we still need to plan for the eventuality of the program dissolving
    • St. Mary School was recently approved for Pre-K through 8th grade school from the State of Indiana IDOE for the “My Way Pre-K” program. Once it is available in Noble County we will be eligible to receive those funds.
    • Catholic School Mission Day is this Thursday, Sept. 7th @ Bishop Dwenger 
    • 100% of Spirit Wear Day proceeds are going to help victims of Hurricane Harvey
    • Beautiful Staff Retreat today!, Mary Jo Parrish from St. Vincent facilitated  

Pastor’s Report

    • Thank you to the principal, staff, and the school board for a very successful Labor Day Festival. Great teamwork!
    • Confirmation Date has been moved to Thursday, May 3rd. 

Other Business- Dr.Hopf-Parking Lot Concerns

    • What is the status of the grant that was done for the walking track? 
      • Grant was written and ready for submission, but committee was asked to stop the process due to individual concerns about the grant. Mrs. Sandor requested the grant be tabled until further discussion and collaboration could be organized. 
    • A meeting is needed with representation from all the stakeholders to discuss everyone’s issues and concerns. (i.e. parish members, parish council members, school faculty, pastor, etc.) Communication needs to be key in this process.
    • Dr. Hopf volunteered to help in the process to get a walking path grant. Contact info given to Brian.
    • Father Daniel requests that we “move forward and not back so that we may achieve something” 
    • Brian reports that there is a process in place to patch holes in the parking lot. Money and labor is needed to complete this process. Joni and Laura to check prices for a truck load of material to patch, and also organize labor.

Approval of Minutes from Previous Meeting-Done via email May 2017 

HASA Report- Kim- 

  • Letter will be given to parents at registration this week giving an overview of HASA along with a budget sheet,  dues will stay the same this year at $50

2017-18 Purchases so far:

  • Price compared rubber mulch for playground and will be ordering this week
  • Supplies for art program
  • $100 gift card for each teacher
  • Donated to parade decorations

Strategic Planning- Brian- Significantprogress was made last year including the formation of a         building and grounds committee, demographic updates, financial information was collected, a             technology plan was started,     and input on educational advancement was given by Jane. This year info         will start to be put to paper in a more formalized plan.

  • Looking forward to a great year, prep for the year going well
  • Middle school schedule is set
  • ENSC has 15 extra minutes on Monday collaboration day, to make up time, 3 extra minutes per day to be compliant, still 7:30 drop off available
  • Preschoolers begin at 8:10 to avoid heavy traffic in parking lot and stay safe on Mondays only

  • Wellness Policy on Physical Activity and Nutrition 
    • Current policy states if the snack does not meet certain criteria it must be sent home
    • St. Mary is currently adhering Federal Policy, but the language is a little confusing, we need more guidance on how to be compliant, but still attend to individual students needs
    • Mrs. Laurie has emailed point person on federal guidelines for more guidance
    • #1 concern is for the children, protecting against allergies

Committee Reports:

 

Finance and Development – Jill / Brian

  • Accrued Diocesan debt (Jul - Oct 2015 unpaid expenses) remain at $116k with no recent growth or reduction.     
  • No meeting since last School Board Meeting
  • Next Meeting June 15, 2017.

 

Enrollment & Marketing – Annette

  • Annette submitted a summary of all the events that took place in 2016-2017; and future ideas for the committee to pursue.

 

Catholic Identity / Policy & Procedure – Angie

 

  • Financial Aid Policy
  • Open to Everyone?  Yes.  The Principal and Priest will go over the applicants.  The policy and procedure committee will discuss this and come up with a plan on how this is decided.

 

  • Sick Child Policy   
  • The committee will discuss this and determine if the procedure we have in place is adequate or if we need a procedure written.  The Policy and Procedure Committee will discuss this and write a new policy (if needed).  This will be assigned to the August Meeting.

 

  • Mrs. Sandor requested a revision of the St. Mary configuration with the Department of Education to include the preschool program.  A motion by Sara Lake and a second by Brian Myers were made for this revision. The motion passed to request a submission for a reconfiguration of the St. Mary enrollment grade levels to the IN Department of Education. 

 

  • School Lunch Program
  • New lunch price will be $2.40 per day; $1.00 Extra; .50 for milk.
  • Handout was submitted for the unpaid lunch policy.  The committee will discuss this and come up with a procedure.

 

 

Principal Evaluation Jill

  •      The Committee met and has turned in the evaluation.

 

Strategic Planning – Brian

  • The goal is to refresh the Strategic Plan (all areas of the 2012-2019 Plan).
  • Angie has great information to share with Brian on the Diocesan Strategic Plan Reviews.

Progress on goals to erase deficit:

  • Increase enrollments
  • Fundraising – Laura is working on getting a database for the Alumni Association.  Forms were handed out for names and addresses of the alumni.  More to come as she is still gathering information.

Principal’s Report – Mrs. Sandor

  • Tuition payments are current.  
  • Registered for 2017-2018:  139 students.  We are still waiting on registrations from school families; if they register, that would add 16 students.
  • Teachers’ Intent to return forms:

  • Mrs. Grimm resigning
  • Mrs. Beckman resigning
  • Mr. Brian Dunne resigning
  • Non-contracted Personnel –contacted the finance committee inquiring on the salary for Mrs. Laurie for art instruction.
  • Mrs. Brandy Scrogham has been hired for the third grade position.

    • First Communion - May 7
    • Confirmation at ICC Kville - May 9
  • Update on Goals:
    • Spiritual Leadership:  Walking with Pope Francis and St. Mother Teresa.
    • Evangelism Consulting:  Blessing of volunteers and recognition brunch.
    • AdvancED Accreditation:  Continuation of artifacts, attendance at accreditation workshop for preschool programs.

    • Father asked if we could extend a discount to multiple children families, reply in a letter from the state says “NO”, we would have to supplement the difference from our own funds, (maybe St. Vincent Depaul fund to subsidize?)
    • very difficult to make ends meet with current budget factors, down 12 meals a day from last year due to the mandated (from the state) $0.10 increase in price, $400 a month in the red-$4,000 deficit by the end of the year
    • Possible fundraiser for kitchen costs? Tasting Party or combine w/Trivia Night
    • Possible tasting and presentation at Back to School Night
    • comparison sheet of school lunch vs. McDonalds vs. packed lunch (cost and nutrition value)

    • Father would like us (as a School Board) to take on the lunch policy as a high priority

  • Mass Mobs @ church events ongoing and successful, 15 attended ICC auction, planning more as they come up

    • Review tentative school calendar and make recommendation
      • Dates are very close to EN calendar
      • Concern about EN going to 45 minute collaboration (no final documentation from the EN corp yet, only discussion from EN) possible representative to go to EN SB meeting to voice our concerns if EN goes to this 
      • Mrs. Reploge and Mrs. Brinker voiced their appreciation and approval of the new calendar
      • Board recommends approval of calendar unanimously
      •  
  2. Review Sports Eligibility Policy
  • Board recommends changing wording to be more specific to include “all games including tournaments” in the game suspension
  • Unanimous vote
  • Stressed that the most important aspect of this policy is to effectively communicate to parents, child, coach, teacher

    • Increase enrollments; fundraising
      • AJ confirmed with Mr. Herenandezpeterson that he will be in attendance at 3.28.17 meeting
      • Discussion re: bookletfrom Foundation-endowments
      • Enrollment for next year is on going, possibility of 3 additional new families, graduating a large 8th grade class,handout given on class #’s and projected numbers for 2017-18 year

New Business:

  1. Fence and Walking Path
  • Tabled request for funds at this time while figuring out logistics, i.e. access for utility purposes, parking, long term maintenance
  • Reassessment of project before June 2017
  • Discussion reinforcement of communication and formation of procedures between committees to coordinate projects and minimize confusion

  • Working on Bingo-possibly in the summer
  • Mike’s Carwash booklets for fundraiser

  • Special Report - Mrs. Sandor is resigning as principal after the 2016-17 year. The School Board sincerely thanks you for your service. You will be greatly missed.

Pastor’s Report

  • Father expressed his appreciation for Mrs. Sandor and wishes she remain on as principal, but understands her resignation.
  • Father will be gone in April for a period of time

Other Business- Elections for 2017-18 

  • 3 seats will be open and need to be filled 
  • Annette (will not be running for second term) -St. Mary w/ no children
  • Tina & Sara (end of 2nd term) - Sending Parish 
  • Jill (end of 2nd term)-position will be eliminated to make an odd # of voting members to comply with constitution
  • Sara will put an announcement in the Friday papers and send to other sending parishes for publication in their weekend bulletins, Beverly to post in St. Mary bulletin ASAP
  • All bios that come in will be emailed to Jill and Melissa

    ◦    New price for school lunches need to be determined by the end of the school year.  (April meeting). 

    ◦    We would like Mrs. Laurie to come back to the April Meeting (held on March 27, 2017).

    ◦    Working on a successful grant request with Joe Pounds from Dekko for the fence / walking path. 

    ◦    Prayers needed for Sister Teresa – she is having surgery 02-08-17.  Students will pray every hour for her at school on that day, 

    ◦    One St. Mary and one St. Joseph parent has shown interest in being the Athletic Director for St. Mary School. 

    ◦    Outstanding Matters to be addressed by School Board: 

    •    Tuition Assistance Protocol 

    •    Athletic Eligibility Policy – clarification needed on practice and no play / no play and no practice for two weeks.  And, tournament time – is the policy still in effect? 

    ◦    Successes 

    •    Isaac Warner, 5th grader will represent Noble Co at the Regional Spelling Bee March 11th. 

    •    Maggie Warner, 7th grader, had the winning design for You Can Lend A Hand Contest.

Opening - School Board Prayer

Committee Reports: 

  1. Finance & Development- Brian Myers/Jill Dunkel (Chairman) – Written report given.  Highlights include:
  • Accrued Diocesan debt (Jul – Oct 2015 unpaid expenses) stands at $116K (down from $136K previously)
  • Subcommittee formed to lay plans for long-term parish deficit reduction
  • Finance Council encouraged by direction School Board is taking with new deficit-minded tuition setting method

    2. Catholic Identity- Angie Jansen (Chairman) -  The committee will meet after tonight’s meeting.

    3. Enrollment & Marketing- (Annette Roesener (Chairman)  

  • We are hoping to do another “Mass Mob” possibly at St. John Bosco in Churubusco and Blessed Sacrament in Albion. Dates and times to come.
  • Planning is going on for Catholic School’s Week.  We will have students speak at the sending parishes.
  • Committee Meeting will be held after the February School Board Meeting.

    4. Principal Evaluation – Jill Dunkel (Chairman) No update.  

  • The evaluation happens in the Spring.

    5. Strategic Planning- Brian Myers (Chairman) – Hand out was given.

  • Goal is to refresh and/or bolster these areas of the existing plan prior to the end of the 2016-2017 school year
  • Next Committee meeting tentatively scheduled to be held after the February School Board
  • May need to reconsider due to attendance conflicts

  1. Tuition Recommendation for 2017-2018 - Brian Myers had a presentation and handouts were submitted.  After much discussion and going over several scenarios, the recommendations are as follows: 
  • Angie Jansen motioned to keep the preschool rates the same; 2nd by Tracy Strater.  Motion passed.
  • Angie Jansen motioned to raise the registration fee from $50.00 to 75.00; 2nd by Carrie Rupley.  Motion passed.
  • Angie Jansen motioned to raise the Book and Technology Fee to $375.00; 2nd by Laura Fortman.  Motion passed.
  • Angie motioned to raise the Tuition Fee 8%; 2nd by Carrie Rupley.  Motion passed.
  • Enrollment is the key factor to impact the fees the most.  We need to increase enrollment.
  1. February School Board Meeting – we will have Mrs. Laurie here to discuss the “Unpaid Lunch Policy.”
  2. April School Board Meeting – we will ask Mike Hernandezpeterson to attend and discuss ways for us to make money for the school.

                   d. Dec. 3rd will be the Christmas Parade in Kendallville. We would like to find a low trailer to ride on as the Nativity Scene. Need to ask Mrs. Couture if we can borrow her 3rd grade costumes

    5. The leaks on the roof above the 3rd grade class are being looked into. Also checking on gaps in masonry in primary hallway.

New Business:

1. Diocesan School Board In-Service – Monday, October 17th from 6-9pm at Bishop Dwenger

                    a. RSVP by October 7th.

        b. Angie Jansen will be attending the Diocesan School board meeting this week and will find out what topics the in-service will cover.

       A session on the SGO program and possibly other tuition assistance program are area's of interest for our board.

HASA Report – (Angie Jansen)

1. Cookie Dough sales were down. Talking about possibly doing this fundraiser later in the year next year.

2. Trunk or Treat is being planned. No date set yet.

3. Trivia Night is tentatively set for Nov. 5th.

4. Sept 14th at noon will be the delivery date for cookie dough.

5. A vice president will be elected at the next meeting.

6. Next HASA meeting is scheduled for Sept. 21st at 6:30.

Special Guest: Jack Jansen

·       Jack is currently working towards his Eagle Scout status and has chosen to redo the rock garden at the entrance of the school for his Eagle Scout project. The estimated cost will be $3000. He and his crew of family members and fellow scouts will be removing the current bushes and planting bulbs and other plants that will be low maintenance. Waring’s and Hesher’s have a bobcat to help with the removal of the bushes. Brian Myers will inform the groundskeepers, Mr. Sherwood and Mr. Bush on this project. Also, father would like to involve the Knights of Columbus in this project. Tentative plans to begin July 2016.

Old Business:

1.     The Sending Parish Tuition Subsidy determination clarification letter was submitted to the Diocese and they newly advise that we are NOT in compliance with the diocesan policy P5130. Mrs. Sandor passed out a copy of the form that will go to the sending parishes (with the rates) that align to this new interpretation of the policy.

 

2.     Sports policy: It is the recommendation of the school board that there shall be no D’s or F on the students midterm or report card in order to be eligible for athletic teams as follows; They will not be able to practice or play in a game for two weeks. The teacher will read evaluate after the two-week period.

 

New Business:

1.     Changes implemented by School Administration in a tentative version of the 2016-2017 St. Mary School Calendar were addressed as a result of concerns raised by several parents as well as members of the board.  The impetus behind the changes as well as perceived impacts to families were discussed.  Current school board policy does not dictate approval of the calendar by the School Board; however, one charter of a diverse School Board is to advise the Pastor and School Administration on topics that are, or may be, of concern to the school community.

 

2.     We should add “recruiting future board members” to the responsibilities of the Catholic Identity committee.

HASA Report

·       Next year’s HASA dues will be $50-to be paid directly to HASA.

·       Fundraisers: at the Johnny Appleseed festival we will be selling IBC root beer and water. We will need a $300,000 Insurance policy for this-HASA is checking on who covers this policy. Cookie down Will be a fundraiser at the beginning of next school year.

Enrollment & Marketing-AR 

  • The letters on the sign out front will not stay up. We have our name in for the sign at the Albion             Library. 
  • We are planning an Open House for the parents and students of St. Joseph's in Garrett to             come to St. Mary's and visit during school hours. This will be for 8 or 9 students.

Principal Evaluation-AJ/ Meet after March Board Meeting.

Strategic Planning-BM/

  • Working on Facilities and Capital Improvement Meeting in March.
  • Continue to compile information on the demographics etc. of the area, school etc.

 

Old Business:

1 . Sara and Mrs. Sandor attended the Catholic School Fair in Angola at St. Anthony of Padua on January 24.

2. Feb. 1 was the Light of Learning Luncheon at 1 pm.

3. St. Mary School was awarded $2000.00 from the Noble REMC Round Up Grant to help purchase a defibrillator, and Knox Box and Walkie Talkies for the school.

4. If anyone knows of any other grants available, please let the school know. Mrs. Winkle is excited about writing the grants.

 

New Business: 

  1. The Sending Parishes need more information on how the Council determines the tuition rates. Brian Myers and Jon Ormiston will get a letter of explanation to them by Mid- March.

 

 

HASA Report

  • HASA is working on getting a booth at the Johnny Appleseed Festival —to sell Root Beer.
  • Also thinking about trying a Trunk or Treat Event for Halloween — maybe have hot dogs and cocoa.
  • No February Meeting
  • no more fundraisers for 2015-16 school year

School Administrators Report

  • St. Mary's was not chosen for a visit from the Advanced Ed Accreditation.
  • Reminder: Don't stress the kids out about I-Step. There were major technical issues with the test this year. .. the server going out and switches not working.  
  • The Open House / Registration went well 
  • The staff and Mrs. Sandor are working on the School Improvement Plan.

        ï    Book and Tech Fee will be $275.00

        ï    Registration Fee will be raised from $30 to $50.00 per family (Most Catholic Schools in                 Ft Wayne charge $100)

        ï    There will be an 9% Increase on Tuition Fees for 1st Child-3rd Child

o   The Finance Committee is looking at publishing the financials quarterly for the parish.   Volunteers needed for the (possible) Grant Writing Committee.

o   Changes made to the Constitution and have been submitted to Marcia Jordan.  Catholic Identity Committee will meet after tonight's meeting.

·    Enrollment & Marketing- AR /

o    The Student Council Members and volunteers will be walking in the Kendallville Christmas Parade on December 5 (Sending Parishes were invited to participate as well).

o   Veteran's Day Program scheduled at the school.  Sending Parishes and the Avilla American Legion were invited.

1.      Finance and Development – Fromthe Council Meeting 09/17/15, the debt is paid in full.  Major concern is that we need to meet “Operating Expenses.”  Some of the Operating expenses are paid thru January 2015 (some of the Diocsean bills are not.)

2.     Catholic Identity –  N/A

3.     Enrollment and Marketing - St Mary’s is committed to the Christmas Boards at Bixler Lake.  We do have a banner and students can walk in the Christmas Parade; a float is not necessary.  St. Mary Student Council will discuss/decide this at their meeting.
